Terms and Conditions

This page outlines the terms and conditions for character hire and teepee hire from Lucy's Princess Parties. Please read the applicable terms and conditions. By sending an enquiry/booking form, you agree to these terms and conditions.

Character Hire

Safety

Lucy’s Princess Parties is covered with public liability insurance and each performer has an up to date DBS check. All electrical equipment (e.g. stereos) used is PAT tested for safety.

While the entertainment is running, we require at least one adult (over the age of 18) other than the performer present throughout the whole party. They do not need to help with the entertainment, but they must be present should they be needed in the case of an accident. It is the responsibility of the customer to ensure this is in place. 

We hold the right not to conduct certain activities or change the party activities if we feel the children are not responding appropriately, or may benefit more from other activities.

 

Cancellation Policy

Once a booking is made and confirmed by a confirmation email or message, it can be cancelled no later than 4 weeks prior to the date of the party. Cancellation after this period will incur a cancellation fee of 20% of the original party package price. This payment will need to be paid via BACS within 3 working days of receipt of invoice.

If the need to reschedule the booking arises, this needs to be done no later than 14 days prior to the original booking date. This is only applicable if performers availability allows.

If you wish to cancel a party, notice must be given via email, Facebook message, text or phone call, and you must have received an confirmation acknowledgement back. Please note we cannot accept messages left on voice mail as notification.

If for any reason a party has to be cancelled on the day of the booking, notice must be given before the entertainer has begun travelling to the party venue. If you have to cancel and do not give notice before the entertainer has started travelling, you are required to cover the entertainer’s travel costs in full. This payment will need to be paid via BACS within 3 working days of receipt of invoice.

If for any reason we have to cancel a party due to weather conditions then there will be no fee and rescheduling will be available.

In the event of extreme weather conditions, you may cancel only if your entertainer cannot reach the party venue. If the entertainer is able to get to the party and you cancel then this will incur a cancellation fee of 20% of the original party package price. This payment will need to be paid via BACS within 3 working days of receipt of invoice.

 

Booking our Services

Parties are confirmed on a 'first come, first served' basis and are subject to availability.  Parties cannot be confirmed without timings and a venue in place. 

Please note that a party is not confirmed until you pay a deposit and receive a confirmation from us, acknowledging your enquiry and confirming the booking.

Please note that in order to book, we require a point of contact from you to discuss the party. This can be an email, phone number of Facebook Messenger account. We also need as much information as you can supply via our booking form on our website. Once the booking is discussed, you will receive a confirmation from us, confirming the booking.

Please note that until you have had a confirmation message or call from us, our services are not booked.

 

Our Team 

As our team expands, we cannot guarantee providing specific entertainers. This includes but is not limited to being unable to provide an entertainer/s based on their gender, age, ethnicity, or religion.

We reserve the right to refuse a booking or to cancel an existing booking for any reason. This includes but is not limited to if a customer is abusive or threatening in some way, or we feel a booking might put an entertainer in a dangerous, inappropriate or uncomfortable position.

 

Payment

The price quoted during booking is non-negotiable. 

The balance for the entertainment will be confirmed with you multiple times before the party commences. You can also double check pricing on the website. Payment must always be paid in cash on the day to the entertainers.

The balance for a booking is payable to the entertainer(s) on the day in cash immediately after the party entertainment is completed. Entertainers cannot accept discount vouchers, cheques, card payments or any other form of payment.

Payment is requested immediately after the entertainment is finished. The entertainer cannot be asked to wait for payment as they may have to leave straight away to get to another booking. If the entertainer is made to await payment for longer than 10 minutes after they finish entertainment, a further fee of £15 is applicable and will be required to be paid via BACS within 3 working days of receipt of invoice. Additional fees of £15 will be applied, for every 10 minutes extra the entertainer has to wait for payment. The entertainer cannot wait longer than 30 minutes for payment.

If the entertainer is made to wait more than 30 minutes for payment, then a fee of £30 is applicable on top of any money owed after the party. This must be paid within 3 days or further charges of £20 per day will apply if the balance is not paid to the entertainer in full. These payments will need to be paid via BACS within 3 working days of receipt of invoice.

 

 

Liability

Please note that Lucy’s Princess Parties does not take responsibility for children causing damage to a venue or any venue that the party is held in. This includes, but is not limited to a home, hired venue or public area.

Due to Health and Safety, Party Entertainers can only be responsible for a maximum of 30 Children. Any more will require another entertainer with an additional cost. By agreeing to these terms and conditions, you agree to the maximum number of children being no more than 30 at your party.

All of our party packages are planned to fit the age group of the children attending. Please note that by supplying an age range prior to the party, the activities will be much more tailored to them. If there is a wide spectrum of age groups, some activites may require adult help for younger children. You should be aware that the longer party packages may not be suitable for very young children. If you have younger children attending the party we would ask that you please ensure that an adult supervisor is there to look after them. 

By booking a party with Lucy’s Princess Parties you understand that you release us from any liability associated with accidents of any kind. This includes but is not limited to accidents occurring to any adults or children. You also release Lucy’s Princess Parties from any liability associated with accidents or damage caused to furniture, fixtures or fitting or property of any kind not belonging to that of Lucy’s Princess Parties.

In the unlikely event that refunds or compensation is requested, you accept that any refunds or compensation given, will be limited to the total value of the cost of hiring our services.

If parties are held anywhere other than your home, we will accept that you have either hired the hall or had permission to use the space, and have deemed the space suitable and safe to use for the types of activities being provided by us.

 

What we need to conduct the entertainment

Please note that with our longer party packages we will require a plug socket for a stereo. If your party is in a venue, then usually this will be available but please do ensure that one is available in the vicinity of the party activities. This is particularly important for dance parties.

If your party is outside, we would ask you to ensure there is access to electricity. If you are using extension cables/leads for outside, then please ensure the cables are running along completely dry ground and they are not in contact with any wet or damp surfaces.

We cannot be accountable for not being able to deliver activities that require electricity, due to power failures or tripped circuits at the venue we are entertaining in.

At least one adult (over 18) should be present during the party. This is in case accidents should occur or children need to go to the toilet. Character performers will not be expected to escort children for bathroom breaks. If young children are present, this will be carried out by the supervising adult. Close contact to individual children will be at the discretion of the character performer. For safety reasons, we cannot proceed with entertainment unless at least one adult is present in the room for the duration.

Teepee hire

During the hire of our teepees and equipment, we require at least one adult (over the age of 18) to be present throughout. They do not need to help with set up or take down, but they must be present should they be needed in the case of an accident. It is the responsibility of the customer to ensure this is in place. 

We hold the right to deduct hire items or equipment should we deem the space provided inappropriate.

 

Cancellation Policy

Once a booking is made and confirmed by paying a safety deposit of £30, it can be cancelled no later than 4 weeks prior to the date of the party. Safety deposits are non-refundable in the case of cancellation after the allotted time period.

If the need to reschedule the booking arises, this needs to be done no later than 14 days prior to the original booking date. This is only applicable if availability allows.

If you have to cancel and do not give notice before the staff member has started travelling, you are required to cover the their travel costs in full. This payment will need to be paid via BACS within 3 working days of receipt of invoice.

If for any reason we have to cancel a party due to adverse weather conditions then there will be no fee and rescheduling will be available.

In the event of extreme weather conditions, you may cancel only if staff members cannot reach the party venue. If the staff member is able to get to the party and you cancel then this will deem your safety deposit non-refundable. 

Sleepy Teepees reserves the right to cancel your party booking at any time, for any reason. We will always try to give as much notice as possible. Upon any such cancellation we will refund the Client any monies paid in respect of the party booking, within 30 days, should any refund be due. Sleepy Teepees will not be liable to pay any compensation to the Client or any other person for any loss, damage or expenditure arising directly or indirectly from the cancellation. Sleepy Teepees reserves the right to terminate the booking without notice if there is a breach of these conditions.

Deposit and booking

There is a safety deposit of £30 which confirms your booking, and is refunded to you after hire items have been collected, assuming there is no damage to the hire equipment, or missing equipment. If this is the case, Your safety deposit may be only partially refunded, or not refunded entirely.

Please note that until you have had a confirmation message or call from us, our services are not booked.

Payment

The price quoted during booking is non-negotiable. 

A safety deposit of £30 is required to book your space with Sleepy Teepees. This deposit is refunded after hire items are collected and checked, assuming there are no damages or missing items.

The balance for the entertainment will be confirmed with you multiple times before the party commences. You can also double check pricing on the website. Payment must always be paid in full via bank transfer to the account provided to you by Sleepy Teepees any time between booking our services, and 2 days before receiving our services. If payment is not made 48 hours before the service commences, the service will not be provided.

All bookings are for a one overnight hire period.

All prices are subject to change, however prices quoted at the time of booking will always be honored.

 

Liability and Insurance

Please note that Lucy’s Princess Parties does not take responsibility for children causing damage to a venue or any venue that the party is held in. This includes, but is not limited to a home, hired venue or public area.

Due to Health and Safety, each Teepee accommodates 1 child. 

By hiring sleepover teepees with Sleepy Teepees from Lucy’s Princess Parties you understand that you release us from any liability associated with accidents of any kind. This includes but is not limited to accidents occurring to any adults or children. You also release Lucy’s Princess Parties from any liability associated with accidents or damage caused to furniture, fixtures or fitting or property of any kind not belonging to that of Lucy’s Princess Parties.

In the unlikely event that refunds or compensation is requested, you accept that any refunds or compensation given, will be limited to the total value of the cost of hiring our services.

If parties are held anywhere other than your home, we will accept that you have either hired the hall or had permission to use the space, and have deemed the space suitable and safe to use for the types of activities being provided by us.

We strictly provide entertainment. Please be aware that children need to be supervised. Sleepy Teepees will not be liable for any claim for personal injury, death, loss or damage to the property however caused. Sleepy Teepees has the final decision in all matters relating to these Terms & Conditions.

Delivery, set-up, take-down and collection

Each of our teepees are 70cm wide x 90cm high x 120cm deep. It is the clients responsibility to check that the space provided will be able to accommodate for these dimensions, depending on how many teepees they have ordered. Sleepy Teepees from Lucy's Princess Parties has a right to deduct items and equipment, should they not fit in the space provided. 

Delivery, assembly, styling, collection and general laundering are included in the hire cost unless stated otherwise.

Prices include delivery to Suffolk and North Essex. Additional charges will be applied for locations outside of these areas.

Delivery times will be between 10 AM and 4 PM on the date of the party. A 2 hour window for arrival will be given the day of delivery. The Client is responsible for being present to accept delivery of the equipment. The Client is responsible for any loss or damage incurred if He/She arranges equipment to be delivered without being present or without an authorized agent present i.e. The Client is responsible for losses or damage resulting from equipment being delivered to an unattended premises or location as requested by the Client.

The time required for complete set up is approximately 1-1.5 hours, but may take more or less depending on the number of teepees ordered. We ask that no children or guests are in the party area during set up in order to avoid a time delay.

All floor areas must be clean from dirt, dust & furniture before setup begins.

Collection will occur the day after the party, at a previously agreed time. This will most likely occur between 11am-2pm.

We request that the client does not attempt to set-up or take-down the hire equipment.

Walkthroughs and checklists

Once set-up is complete, a staff member will go through a checklist to confirm the items that have been delivered. The client signs, to confirm they have received the items listed.

This also occurs at takedown. The two checklists are compared, to highlight any missing items.

Damages

General cleaning of all items are included in the hire price.

The Client will be responsible for the cost of replacing any Sleepy Teepee equipment damaged due to mistreatment while at the Client’s premises. This includes breakages of teepees frames/lights/breakfast trays, tears/holes in the teepee fabric/pillows/linens/stuffies/air mattresses, or extra cleaning needed due to stains.

If any item is damaged or stained, charges will be deducted from the damage deposit in order to replace the item including staff time. If the cost of damages exceeds the amount of the damage deposit, an invoice will be sent to the Client and must be paid by the Client within 24 hours.

Sleepy Teepee items exposed to cigarette smoke will incur an additional £50 cleaning fee.

It is the responsibility of the Client to take duty of care and always supervise children with the hire equipment. Diligence must be taken with younger children on the Client’s premises.

Assembly/Disassembly is the responsibility of Lucy's Princess Parties' staff. Please allow our staff to set up and pack up all items for your safety and to reduce the risk of damage.
